Important Dates to Remember

We do our best at VEHI to remind you of your responsibilities related to our benefit plans.  This list is based on January open enrollment timeline, which is the timeline used by most of our groups.  If you have questions or suggestions, please email Bobby-Jo Salls to update the list.  Thank you!

October - December - Happening Now!

  • Creditable Coverage Notices due by October 15
  • Reminder to collect missing SSNs for 1095s (not available from Blue Cross VT or VEHI)
  • Change to HRA/HSA Administrators due to VEHI/Blue Cross VT by 10/31
  • Next fiscal year health rates filed by 10/31
  • Next fiscal year dental rates filed in November
  • Pay out Cash-in-Lieu if applicable
  • Open Enrollment [mid-October to mid-November] for most school districts
  • Approved dental rates for next fiscal year expected in December

January - March - Coming Soon!

  • Health Plan Deductibles and Accumulators reset 1/1
  • Health Reimbursement Arrangements reset for 1/1
  • New Summary of Benefits and Coverage in effect 1/1
  • VEHI Plan Comparisons available for 1/1
  • New Benefit Description Documents in effect 1/1
  • Annual HSA deposits due 1/1 (per statewide bargaining agreement)
  • Make FSA deposit if applicable
  • Audit Health and Dental bills to confirm membership is correct (January)
  • Rate approval expected for next fiscal year (January)
  • 1095s due to employees by the end of January
  • IRS ACA Reporting Due by 3/1 (if mailing) or 3/31 (if electronic)

April – June

  • Cancel coverage for all non-renews and retirees by 6/30 (unless your district covers through August)
  • Update your COBRA calculation for July 1 rates
  • Send COBRA paperwork to those who are losing coverage
  • Pay out Cash-in-Lieu if applicable
  • Updated VEHI Cost Comparisons available for July 1
  • Update internal documents for new fiscal year rates
    • Update BDD Wrap document with new FY rates
    • Notify employees of rate change for 7/1

       

July – September

  • Prepare for new hires
    • All benefit information/prep your internal website with updated links
    • Cash in Lieu agreement (if applicable)
    • Be clear on deadlines for enrollment
    • Confirm HSA eligibility for new enrollees with HSA certification
  • VEHI Northeast Delta plan deductibles and plan accumulators reset for July 1
  • VEHI Health and Dental Rates change July 1
  • VEHI Northeast Delta Student Certifications sent in early August, due by August 30 (where applicable)
  • Annual disclosure to CMS due by August 30
